Privacy Policy

This policy explains what happens to personal information in connection with the website at evenformat.online, which publishes the five-step course called Even Format. The entity responsible for that website, and for the decisions described here, is:

LOKGROUP s.r.o. handles personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles, which the Office of the Australian Information Commissioner publishes at oaic.gov.au/privacy/australian-privacy-principles. The sections below walk through all thirteen principles in order and say what each one means on this site.

This policy covers evenformat.online and nothing else. The course links to other websites, including the website of the game Enlisted and the sites of Australian public bodies. Those are separate organisations with their own privacy policies, and once you follow a link, what happens is governed by the policy of the site you have arrived at.

APP 1 — Open and transparent management of personal information

This page is the whole of our privacy practice, written to be read rather than filed. The site is a set of static pages: there is no form anywhere on it, no account, no login, no newsletter, no progress tracking and no analytics. Two kinds of personal information exist in connection with it, described under APP 3. Questions about this policy go to info@evenformat.online, which is also the address for complaints and for access and correction requests.

APP 2 — Anonymity and pseudonymity

You can read every page of this course without identifying yourself. Nothing asks for your name, your email address or anything else, and we do not try to work out who readers are. If you email us, a pseudonymous address is perfectly acceptable for a general question or a correction. The exception is a request for access to or correction of personal information, where we need enough confidence about who you are to be sure we are not disclosing someone's information to the wrong person.

APP 3 — Collection of solicited personal information

Two categories of personal information arise, and no others.

(a) Server access logs. Our hosting provider keeps standard web server logs when a page is served. Each entry contains the IP address of the device requesting the page, the date and time of the request, the URL requested, the referring page if your browser sends one, and the user-agent string your browser supplies.

(b) Emails sent to us. If you write to info@evenformat.online, we hold your email address, your name if you include it, the content of your message and any attachment you send.

(c) Nothing else is collected. There are no forms, no accounts, no sign-ups and no quizzes. The checklists on this site do not record what you tick. The site sets no cookies, loads no web fonts, runs no analytics, carries no advertising tags, builds no profile of you and performs no cross-site tracking. No part of any page requests anything from any other server, so no third party learns that you visited.

APP 4 — Dealing with unsolicited personal information

Sometimes an email contains personal information we did not ask for and do not need to answer the question — details of other people, documents attached by mistake, or background nobody required. Where it is lawful and reasonable to do so, we delete that material rather than keeping it, and we do not use it for anything in the meantime.

APP 5 — Notification of the collection of personal information

This page is that notification, and it is written before the fact rather than after it. Access logs are described above and are collected by our hosting provider as soon as a page is served. Email is collected when you choose to write to us. Each is described here: why it exists, how long it is kept, and who else sees it.

APP 6 — Use or disclosure of personal information

Access logs are used to keep the site running and secure: diagnosing faults, identifying abuse such as automated attacks, and understanding why a page failed to load. Email is used to read and answer your message, and to keep a record of the exchange.

We do not use either category for anything else. Personal information connected with this site is never sold, rented, traded, or shared with anyone for marketing. The only circumstance in which we would disclose it to a third party is where the law requires it — for example a valid order from a court or an authority with power to compel production.

APP 7 — Direct marketing

We do no direct marketing of any kind. There is no mailing list, no newsletter, no course reminder, no re-engagement email and no advertising audience built from anything here. If you email us, you receive a reply to your message and nothing further.

APP 8 — Cross-border disclosure of personal information

Two service providers are involved in running this site: our hosting provider, which serves the pages and keeps the access logs, and our email service provider, which carries and stores messages sent to our address. They are the only recipients of the information described in this policy.

Those providers may store or process data outside Australia, and the location may be outside Australia including, potentially, within the European Union where LOKGROUP s.r.o. is established. We cannot name a single country with certainty, because providers operate across several, so we state the position plainly rather than implying a precision we do not have. Where you send us an email, you are sending it to an organisation established in the Czech Republic and it will be handled there.

APP 9 — Adoption, use or disclosure of government related identifiers

This principle has almost no application here. We do not adopt, use or disclose any government related identifier — no tax file number, no Medicare number, no driver licence number, no passport number. We never ask for one, and if one arrives in an email it is treated as unsolicited information under APP 4.

APP 10 — Quality of personal information

We hold only what you wrote to us and what a web server recorded automatically, so there is little scope for it to be wrong. If something is inaccurate, out of date or incomplete, tell us and we will correct it.

APP 11 — Security of personal information

The site is served over HTTPS, so what passes between your browser and the server is encrypted in transit. There is no database behind the site and no submitted content stored anywhere, because nothing can be submitted. The hosting account and the mailbox are reachable only by people working for LOKGROUP s.r.o., using individual credentials.

We claim no certification and no compliance with any standard beyond what is written here. Information that is no longer needed is deleted on the schedule set out below, which is itself a security measure: material we do not hold cannot be lost.

How long each category is kept

Access logs are retained for 30 days and are then deleted or overwritten in the ordinary course of our hosting provider's operations.

Email is retained for 24 months after the last message in the conversation, and is then deleted. The exception is correspondence we are required to keep for longer, or that is needed to establish, exercise or defend a legal claim, which is kept until that need ends.

APP 12 — Access to personal information

You may ask what personal information we hold about you. Email info@evenformat.online with Privacy request in the subject line. There is no charge for making a request. We reply within 30 days.

APP 13 — Correction of personal information

If information we hold about you is wrong, ask us to correct it the same way, with Privacy request in the subject line, and describe what is incorrect. We correct it within 30 days and tell you what we did. If we disagree that a correction is needed, we say so and explain why, and you may ask us to attach a statement to that effect to the information.

Affiliate links and what they mean for your information

Some pages in the course link to the website of the game Enlisted. Those links are paid affiliate links, explained in full on our Affiliate Disclosure page.

When you follow one, you leave evenformat.online. Enlisted's own site and the affiliate network that operates the link may set cookies or use similar technology on their own domains to record that the visit came from us, and their own policies govern that. We do not control it and we cannot switch it off from here.

LOKGROUP s.r.o. receives commission reports from the affiliate network. We use them only to reconcile payments, and we do not seek, request or attempt to derive information that identifies individual readers from them.

Complaints

If you think we have mishandled personal information, write to info@evenformat.online and set out what happened. We will respond within 30 days.

If our answer does not satisfy you, you can complain to the Office of the Australian Information Commissioner, which explains how at oaic.gov.au/privacy/privacy-complaints.

Data breaches

If we have reason to believe personal information connected with this site has been lost or disclosed without authorisation, we assess what happened promptly. Where the breach is likely to result in serious harm, we notify the people affected and the Office of the Australian Information Commissioner in line with the Notifiable Data Breaches scheme.

Children

This course is written for adults and is not directed at people under 16. We collect nothing that would identify a child, because we collect nothing that identifies anyone except what you choose to put in an email. If you believe a child has sent us personal information, tell us and we will delete it.

If you are in the European Union, the EEA or the United Kingdom

LOKGROUP s.r.o. is established in the Czech Republic, so European data protection law applies to our handling of personal information as well.

Our legal basis for keeping server access logs is our legitimate interest in operating a secure, working website. Our legal basis for handling the content of emails is to take steps at your request and to respond to the enquiry you have sent us. We rely on consent for nothing, because there are no cookies, no tracking and no marketing to consent to.

You have the right to request access to the personal information we hold about you, its rectification or erasure, restriction of its processing, portability of information you provided to us, and to object to processing based on legitimate interests. Use the same address, info@evenformat.online.

You may also lodge a complaint with the Czech supervisory authority, the Office for Personal Data Protection (Úřad pro ochranu osobních údajů), uoou.gov.cz, or with the supervisory authority in the country where you live.

Changes to this policy

When this policy changes, the effective date at the top is updated. If a change is material — a new category of information, a new recipient, a different retention period — we flag it in a note at the top of this page for 30 days so that returning readers can see that something moved.
